Some common questions/answers about our vehicle hire services

We need to see all of the following documentation at the time of hire:

1. Driving licence

A current full driving licence must be produced by all hirers at the commencement of each and every hire. From 8 June 2015, the paper counterpart to the photo driving licence became invalid and will no longer be issued by DVLA. Please obtain a Driving Licence Code from:  http://www.gov.uk/view-driving-licence

  • You must be between the ages of 25 - 75 years for cars, 21 - 75 years for vans & trucks, 30 - 70 years for 9 & 17 Seat Minibuses, a regular driver and in good health. Age restrictions apply as follows.
  • Drivers of 17 Seat Minibuses & 7.5 ton vehicles must have passed their driving test prior to January 1997. Drivers who have passed their driving test since January 1997 are NOT eligible and are required to be in possession of a D1 and C1  license respectively.
  • Drivers with foreign driving licences must present their own national license plus an International Driving Licence.
  • Foreign residents in the U.K. may drive on their non-U.K driving licenses for up to one year from commencement of residency.  A Passport is required for proof of entry date.
  • Hirers aged between 21 and 22 must have held a driving licence for 2 years and have no endorsements, a young driver surcharge will apply and the damage excess amount will be higher.
  • Hirers aged between 23 and 24 must have held their driving licence for 2 years and endorsed licences will be individually considered, a young driver surcharge will apply and the damage excess amount will be higher.
  • Hirers aged 25 and over must have held their licence for 1 year and endorsed licences will be individually considered.
2. Two forms of identification.

These must be recent utility bills, bank or building society statements. A passport is not acceptable as it does not contain your address.

3. Credit or debit card.

This will be required for the booking deposit (a maximum of £100 taken at time of booking), the rental deposit and the hire charge, (which will be taken at the time of hire). Please make sure there is enough credit available on your card. All outstanding payments will be taken from the nominated card, if the card holder is not the driver, the card holder must be present at time of collection.

The Hirer is fully covered on insurance. Payment of the Collision Damage Waiver (CDW) reduces your excess contribution in the event of a motor accident. In most cases your excess will be reduced from £1000 down to £150 or £250. This figure can alter depending on the type of vehicle hired, age, endorsements, previous accidents and driving experience. A deposit to the value of the excess will be required if the CDW option is not taken on check out. Overhead damage, damage to tyres, windscreens, wheel trims and upholstery are not covered by the damage waiver, the hirer being liable for the full cost of repair.

In the case of negligent driving, damage will be assesed on a case by case basis and the hirer may be liable for the full cost of repair.

Minibuses are NOT insured for Hire & Reward.

Excluded Occupations

Entertainers & Musicians, Professional Sportspersons, Persons Connected with Gambling including on and off-course book makers, Persons connected with Racing, General Dealers (Market Traders/Street Traders), Scrap Metal Merchants and Modelling.

Higher Risk Occupations where insurers require additional care when qualifying the hirers

Publicans and employers of licensed premises, UK students under 25 years of age & any foreign student and Foreign Service Personnel

A deposit of £150.00 for Vans & £250 for Cars will be required on collection. This will be increased to £1000.00 if CDW is not purchased as above.

Additional drivers can be insured for a very small daily charge. Full driving licence and identification as above are required.

Whilst every effort will be made to supply the model requested, in the event of it being unavailable, an alternative model will be provided.

This is calculated on a 24-hour basis, usually from 08:00hrs or 1730hrs.  Rental times may be adjusted to suit individual hirers' requirements subject to vehicle availability

Refunds can only be given if we have received at least 24 hours notice before the vehicle is returned early. Booking deposits are non-refundable, however, if needed they can be transferred to another hire minus a small administration fee.

If you wish to extend your hire, arrangements must be made prior to expiry of the current agreement and an additional payment made to enable the insurance cover to be extended.

ULEZ – Ultra Low Emission Zone

 

To help improve air quality, an Ultra Low Emission Zone (ULEZ) has been implemented within central London from 8 April 2019. Most vehicles, including cars, vans, and trucks will need to meet new, tighter exhaust emission standards (ULEZ standards) or pay a daily charge to travel within the ULEZ. Due to these changes we ask anyone who is entering into London to inform us when making their reservation so we can try our hardest to provide you with a ULEZ compliant vehicle. If you fail to notify us, then you will be liable for fines ranging from £12.50 - £100.00 depending on vehicle type. Fines will be issued by Transport for London and will be forwarded on to you. If you fail to inform us there may also be a £25.00 admin fee charged to you.

 

 

CCZ – Congestion Charge Zone

Recent changes to the CCZ means that there is a cost of £15.00 if you drive into the CCZ, between 07:00 – 22:00 7 days a week. This again is something that you will be liable for and if the vehicle is not ULEZ compliant, then that additional charge will be added on.

48 hours notice for a full refund.

Vehicles must be returned to the office from which they were rented. There are facilities for returning vehicles after normal business hours.

The Hirer is responsible for checking water, oil levels and tyre pressures daily, after the first 24 hour hire period as all vehicles have had their daily checks prior to collection.

In the unlikely event of a breakdown or accident all vehicles are covered by Roadside Recovery and Home Start services. During opening hours, call the office on 02380 474443. Breakdowns outside of office house, please call 0800 107 5867.

 

Breakdown cover is included in the cost of the hire, however if the cause of breakdown is deemed driver negligible or due to driver error, then it may not be covered and can be chargeable. These include but are not limited to

  • Flat battery due to driver error
  • Tyre changes
  • Incorrect fuel
  • Out of fuel
  • Tyre puncture (subject to puncture)
  • Lost or broken keys
  • Locked out of vehicle

Our rental staff will note on the pre-rental check form and rental agreement, the reading of the fuel gauge. You are requested to return the vehicle with the same amount of fuel as you commenced the rental. A re-fuelling charge will be made if it is necessary to bring the level of fuel up to where it was when you took the vehicle.

With prior approval, it is possible that our vehicles may be taken outside mainland UK, although there are restrictions regarding taking them into some countries. A surcharge will apply when taking a vehicle outside mainland UK and extra charges will be made. Please call 02380-474443 for further details.

You may drive our vehicles using you own company's fleet insurance cover, provided we have approved this in advance. In this event, only the restrictions of your own insurance will apply. It may be worth noting that you will attract cheaper rates when providing your own insurance. Ask our rental staff for details.

The hirer must be in possession of a current and valid Operator's Licence when renting vehicles in excess of 3.5 tons GVW for hire and reward or in connection with the hirer's trade or business. New business hirers must provide evidence to our rental staff that they hold a valid Operator's Licence.
